X-Codex Foundation cares about your privacy. We therefore only process data that we need for (the improvement of) our services and treat the information we have collected about you and your use of our services with care. We never make your data available to third parties for commercial purposes.
This privacy policy applies to the use of the website and the services of the X-Codex Foundation that are derived from it.
The effective date for the validity of these terms and conditions is February 28, 2022, with the publication of a new version the validity of all previous versions expires. This privacy policy describes what data about you is collected by us, what this data is used for and with whom and under what conditions this data may be shared with third parties. We also explain to you how we store your data and how we protect your data against misuse and what rights you have with regard to the personal data you have provided to us.

Data processing
Below you can read how we process your data, where we store them (or have them stored), what security techniques we use and to whom the data is accessible.
Purpose of processing
We use your data exclusively for the purpose of providing our services. This means that the purpose of the processing is always directly related to the assignment you provide. We do not use your data for (targeted) marketing. If you share data with us and we use these data – other than at your request – to contact you at a later date, we will ask you for your explicit permission. Your data will not be shared with third parties, other than to meet accounting and other administrative obligations. These third parties are all bound to secrecy by virtue of the agreement between them and us or an oath or legal obligation.
Automatically collected data
Data that is automatically collected by our website is processed with the aim of further improving our services. This data (e.g. your IP address, web browser and operating system) is not personal data.
Web hosting
We use the services of GoDaddy for our web hosting and regular business e-mail traffic. This party has taken appropriate technical and organizational measures to prevent misuse, loss and corruption of your and our data as much as possible. GoDaddy does not have access to our mailbox and we treat all our email traffic as confidential.
Cooperation with tax and criminal investigations
In appropriate cases, X-Codex Foundation may be required by law to share your information in connection with governmental fiscal or criminal investigations. In such a case we are forced to share your data, but we will resist within the possibilities offered by law.
Retention periods
We will retain your information for as long as you have registered as a recipient of news articles. This means that we will keep your name and email address until you indicate that you no longer wish to receive news articles. If you indicate this to us we will also interpret this as a request to forget. In addition, when you purchase treatment protocols, we must also save invoices with your (personal) data on the basis of the applicable administrative obligations. We will therefore keep this data for as long as the applicable term runs. However, employees no longer have access to your user profile and documents that we have produced as a result of your order.
Payment processing
For our payment services, we make use of Mollie. Mollie is one of the fastest growing payment processors in Europe. Using a simple and clear payment API, Mollie offers various payment methods in a uniform way, where data is guaranteed to be stored on Dutch servers. These servers are located in extremely secure data centers, supervised by a specialized NOC team.
Your rights
Under applicable Dutch and European legislation, you as a data subject have certain rights with respect to the personal data processed by or on behalf of us. We explain below what these rights are and how you can invoke them. In principle, to prevent misuse, we only send copies and copies of your data to your e-mail address already known to us. In the event that you wish to receive the data at another e-mail address or, for example, by post, we will ask you to identify yourself. We keep a record of completed requests; in the case of a forgetful request, we administer anonymized data. You will receive all copies and data in the machine-readable data format that we use within our systems. You have at all times the right to lodge a complaint with the Personal Data Authority if you suspect that we are using your personal data in an incorrect manner.

You always have the right to see the data that we process (or have processed) and which relate to your person or can be traced back to that person. You can make a request to that effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a copy of all data at the e-mail address we have on record, together with a list of the processors who hold this data, stating the category under which we have stored it.
Right to rectification
You always have the right to have the data we process, or have processed, which relate to your person or can be traced back to that person, rectified. You can make a request to this effect to our contact person for privacy matters. You will then receive a response to your request within 30 days. If your request is granted, we will send you a confirmation at the e-mail address we have on record that the data has been amended.
Right to restriction of processing
You always have the right to restrict the data we process (or have processed) that relate to or are traceable to your person. You can make a request to this effect to our contact person for privacy matters. You will then receive a response to your request within 30 days. If your request is granted, we will send you confirmation at the email address we have on record that the data will no longer be processed until you lift the restriction.
Right of portability
You always have the right to have the data that we process (or have processed) and that relates to your person or can be traced back to you, carried out by another party. You can make a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you copies or copies of all the data about you that we have processed or that has been processed on our behalf by other processors or third parties at the email address we have on record. In all likelihood, we will no longer be able to continue providing services in such a case, as the secure interconnection of data files can then no longer be guaranteed.
Right to object and other rights
In appropriate cases, you have the right to object to the processing of your personal data by or on behalf of X-Codex Foundation. If you object, we will immediately cease processing your data pending the resolution of your objection. If your objection is well-founded, we will provide you with copies and/or copies of the data that we process, or have processed, and then permanently stop processing it. You also have the right not to be subjected to automated individual decision-making or profiling. We do not process your data in such a way that this right applies. Google Analytics
Through our website, cookies are placed by the U.S. company Google, as part of the “Analytics” service. We use this service to track and get reports on how visitors use the website. This processor may be obliged under applicable laws and regulations to provide access to these data. We have not allowed Google to use the obtained analytics information for other Google services.

Changes in the privacy policy
We reserve the right to change our privacy policy at any time. However, on this page you will always find the most recent version. If the new privacy policy affects the way we already process data relating to you, we will inform you by e-mail.
